This Privacy Policy explains what Field ACQ ("Field ACQ," "we," "us," or "our") collects, why we use it, when we share it, and the choices available to you when you use fieldacq.com and related services (the "Service").
1. Information We Collect
Account & company information
When you create an account, we collect your name, email address, phone number (if provided), company name, and role. This identifies you as the account owner or a team member within a contractor company workspace.
Project & operational data
You and your team enter business records to run the Service, including projects, crews and team members, daily logs, estimates, purchase orders, change orders, invoices, time cards, permits, and inspections. You control this data.
Photos and location
Photos uploaded to daily logs, inspections, and progress reports may include metadata such as the capture timestamp and, where you grant permission, GPS coordinates and an approximate address. This metadata is attached to help verify when and where work was performed.
Billing information
Subscription billing is processed by our payment provider, Stripe. We receive limited data necessary to manage your subscription (such as plan and renewal status) but we do not store full card numbers.
Usage & technical data
We automatically collect technical data such as IP address, browser type, device identifiers, and usage logs to operate, secure, and improve the Service.
2. How We Use Information
- To provide, operate, and maintain the Service and its features.
- To create and manage your account, company workspace, and team memberships.
- To process subscription payments and manage renewals and cancellations.
- To send transactional and service-related emails such as invites, password resets, and notifications.
- To enable the General Contractor (GC) visibility features you configure, including sharing project progress, hours, tasks, and photos with GCs you invite.
- To provide compliance reference search results using our embedded Nationwide Development Reference documents.
- To extract reviewable draft fields and line items from estimate, change-order, invoice, and purchase-order photos that you choose to scan.
- To create operational metrics, diagnose errors, and improve reliability and usability. We do not sell your information or use your project data for cross-context behavioral advertising.
- To monitor for abuse, enforce our Terms, and protect the Service.
- To communicate updates, and — with your consent where required — product information.
3. Sharing & Subprocessors
We do not sell your information. We share data only as described here, with service providers (subprocessors) that process data on our behalf under written agreements:
- Stripe — payment processing and subscription management.
- Resend — transactional email delivery.
- Vercel Blob — file storage for uploaded photos and attachments.
- Neon — managed PostgreSQL database hosting.
- Supabase & OpenAI — compliance reference search and enabled AutoBid, design, and document-photo analysis (document embeddings, query processing, image extraction, and model inference). We configure model requests not to be stored for product improvement; providers may retain limited data for security and abuse monitoring under their applicable policies.
- Vercel — application hosting and content delivery.
We may disclose information when required by law, legal process, or to protect rights, safety, or property. Workspace owners control team access: when an owner invites a user, we store the invitee's email, assigned role, module-access selection, invitation status, and membership history so the Service can enforce those choices. We make workspace information available to that user only through the access the owner assigns.
4. AI-Assisted Features
If you use AutoBid, Bid Engine, Design Studio, document scanning, or another AI-assisted feature, you choose what photos, drawings, measurements, scope notes, and other content to submit. We process that content to return the feature you requested, such as a draft takeoff, design suggestion, estimate analysis, or prepopulated business-document form. Outputs can be incomplete or incorrect and must be reviewed by a qualified person. Do not submit passwords, payment-card data, Social Security numbers, or other information that is not needed for the feature.
For document scanning, the optimized page photo is transmitted for analysis, is not added to Field ACQ project-photo storage, and is discarded by Field ACQ after the request completes. Extracted fields are not saved to your workspace unless you review and create the Draft. Other enabled AI features may keep inputs and outputs with the related project so you can revisit and edit them. We do not sell those inputs or use them to train a general-purpose model.
5. Data Retention
We retain account and workspace data for as long as your account is active or as needed to provide the Service, meet legal obligations, resolve disputes, prevent abuse, and enforce agreements. When an owner requests account deletion, we schedule company data for deletion or anonymization within a reasonable operational period, subject to backups, legal holds, and records we must retain.
6. Your Rights
Depending on your jurisdiction, you may have rights to:
- Access a copy of the personal data we hold about you.
- Correct inaccurate or incomplete information.
- Delete your account and associated personal data.
- Export your data in a portable format.
- Object to or restrict certain processing.
- Withdraw consent for optional processing.
To exercise these rights, email admin@fieldacq.com from the email on your account. We respond to verified requests within 30 days.
7. Security
We use reasonable administrative, technical, and physical safeguards designed to protect your data, including encrypted transport (TLS), multi-tenant data isolation, and least-privilege access controls. No method of transmission or storage is fully secure, and we cannot guarantee absolute security.
8. Cookies & Authentication
We use a first-party authentication cookie (a signed JWT session) to keep you logged in. We do not use advertising cookies. Analytics, where used, is limited to product improvement and does not profile you for cross-context advertising.
9. Children
The Service is a business tool for construction professionals and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe we have collected such information, contact us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy. Material changes will be posted on this page with a revised "Last updated" date. Continued use after changes take effect constitutes acceptance.
